EMI Photography operates the EMI Photography Drop Box website at www.emidropbox.com. The website allows parents, guardians, and other authorized adults to submit photographs of school activities for inclusion in their child's school yearbook.

We take the privacy of families and submitted photographs seriously. This Privacy Policy explains what information we collect through the website, how we use it, and with whom it may be shared.

Information We Collect

We collect the following information when you use the EMI Photography Drop Box:

  • Email address: We collect the email address that you explicitly provide when submitting photographs.
  • Photographs: We collect the photographs that you choose to upload.

There are no user accounts to create, and we do not require you to register for an account or create a password in order to submit photographs.

Our web hosting provider may also automatically record standard server access information when you visit or use the website, such as IP address, browser type, date and time of access, and information about requests made to the server. This information is part of the ordinary operation and security of web hosting and is not used by EMI Photography for advertising or behavioral tracking.

How We Use Your Information

We use the information we collect only for purposes related to operating the photo submission service and producing the applicable school yearbook.

Photographs submitted through the website may be used for:

  • Inclusion in the applicable school's yearbook;
  • Designing and producing the yearbook;
  • Printing the yearbook and fulfilling yearbook reprint requests;
  • Marketing and promotional materials for that school's yearbook; and
  • Communicating with you when necessary concerning your submission, including confirming that an upload was completed, requesting additional information about a photograph, or addressing an issue with a submission.

We do not use submitted photographs for unrelated commercial purposes, sell them as stock photographs, use them for facial recognition, or use them for advertising unrelated to the applicable school yearbook.

We do not send marketing emails. Any emails we send in connection with a photo submission are limited to communications concerning that submission or the operation of the photo submission service.

Authorization to Use Submitted Photographs

By submitting a photograph, you represent that you are the parent, guardian, or other person authorized to submit the photograph, and you agree that EMI Photography may use the photograph for the applicable school's yearbook and for yearbook-related marketing and promotional purposes.

This authorization applies to the photograph for as long as it is retained by EMI Photography for the purposes described in this Privacy Policy.

Access to Submitted Photographs

Photographs uploaded through the website are not made available to the general public through the website. The uploaded photograph files are not publicly accessible on the Internet, are not displayed in a public photo gallery, and are not made available for other website visitors to browse or download.

Access to submitted photographs is limited to what is reasonably necessary to process the photographs, produce the applicable yearbook, provide yearbook-related services, and operate and maintain the photo submission service.

Yearbook Production and Treering

To design and print school yearbooks, EMI Photography uses the Treering school yearbook service. Photographs submitted through the EMI Photography Drop Box may therefore be provided to Treering for purposes of designing, producing, printing, and fulfilling the applicable school yearbook and related services.

Treering's handling of personal information is governed by its own privacy policy, which is available on the Treering website.

Hosting

The EMI Photography Drop Box website and its uploaded files are hosted by Veerotech. Veerotech may process or store information as necessary to provide web hosting, storage, security, and related infrastructure services to EMI Photography.

We do not use Google Analytics or other third-party analytics services, advertising networks, advertising trackers, or behavioral tracking services on the EMI Photography Drop Box website.

Cookies and Tracking

We do not use cookies or similar technologies for advertising, behavioral tracking, or cross-site tracking.

The website or its hosting infrastructure may use technologies that are necessary for the website to function, maintain security, or process photo uploads. Standard server access logs may also be maintained by our hosting provider.

Retention of Photographs

We retain submitted photographs indefinitely. Photographs are retained so that yearbooks can be reprinted or otherwise reproduced in the future and so that we can continue to provide yearbook-related services.

Because photographs are retained for these purposes, a request to delete a photograph may not be able to be honored where deletion would interfere with our ability to provide yearbook reprints or fulfill other legitimate yearbook-related purposes.

Security

We take reasonable measures designed to protect submitted information against unauthorized access, disclosure, alteration, or destruction. However, no method of transmitting or storing information electronically can be guaranteed to be completely secure.

Children's Privacy

The EMI Photography Drop Box is intended for use by parents, guardians, and other authorized adults. Children are not asked to create accounts or submit photographs themselves.

Photographs submitted through the website may contain images of children because the purpose of the service is to collect photographs of school activities for school yearbooks. The presence of a child in a photograph does not mean that the child is the person using the website or submitting the photograph.

We ask that parents, guardians, and other authorized adults submit photographs on behalf of children.

California Privacy Rights

California privacy law provides certain rights to California residents with respect to their personal information, subject to applicable legal exceptions, limitations, and whether the law applies to a particular business or situation.

To the extent applicable law provides you with privacy rights, you may have the right to request information about the personal information we collect, use, or disclose; request correction of inaccurate personal information; request deletion of personal information, subject to applicable exceptions; and exercise other rights provided by applicable law.

EMI Photography does not sell submitted photographs or personal information.

We also do not share submitted photographs or personal information with third parties for cross-context behavioral advertising.
